Compensation: $17 - $20 / hour


We are seeking a punctual, reliable Receptionist & Office Assistant to help manage our front entrance and support various office tasks. While our front door is locked and the facility is not open to the public, you will still be the first point of contact for visitors and help ensure a smooth flow of operations throughout the day. Greeting visitors will be minimal as access is restricted to approved individuals only, and the majority of your time will be spent assisting with administrative tasks.

Key Responsibilities:

  • Visitor Management: Monitor and control access to the facility via the locked front door. While the door is not open to the public, you will be responsible for greeting and directing approved visitors as they arrive. Maintain security procedures while ensuring a professional and welcoming atmosphere.

  • Light Phone Handling: Answer calls that are transferred from our Manhattan office, directing inquiries or taking messages as needed.

  • Office Assistance: Provide general administrative support, including:

    • Copying, scanning, and laminating documents.

    • Data entry and maintaining office records.

    • Basic graphic design tasks (Canva, Photoshop, etc.) for marketing or internal documents.

    • Preparing materials for presentations, shipments, or meetings.

  • Punctuality & Reliability: Be consistently punctual and dependable to ensure smooth operations, both in terms of security and office workflow.

  • Customer Service: Serve as a friendly, professional point of contact for both visitors and internal staff. While direct interaction with customers is limited, you’ll provide assistance to anyone who needs help within the office.

  • General Office Tasks: Support other administrative functions as needed to help with day-to-day office operations.

Qualifications:

  • Proven experience in a receptionist or office assistant role.

  • Excellent communication skills and a professional phone demeanor.

  • Strong organizational skills with the ability to manage multiple tasks effectively.

  • Basic graphic design skills (experience with Canva, Photoshop, or similar software is a plus).

  • Proficient in Microsoft Office Suite or Google Workspace.

  • Strong attention to detail and the ability to maintain confidentiality.

  • A proactive attitude and willingness to assist in various office tasks.

  • Exceptional punctuality and dependability.

  • Ability to work independently and as part of a small team.

Physical Requirements:

  • Ability to stand or sit for long periods.

  • Comfort in managing a locked entry point and greeting visitors as needed.

  • Ability to operate office equipment (phone, printer, fax, etc.).
