Job Summary
We are seeking a highly organized and proactive Logistics & Operations Coordinator to manage inbound and outbound freight across our manufacturing facility in Brooklyn.
This role is responsible for shipment visibility, freight coordination, documentation accuracy, and cross-functional communication between production, purchasing, and warehouse teams. You will play a key role in keeping materials and finished goods moving efficiently, preventing delays, and ensuring operational flow. This is not a clerical role. This position requires ownership, follow-through, and the ability to proactively identify and solve logistics challenges in a fast-paced production environment.
Essential Job Duties
Freight Coordination & Scheduling
- Coordinate all inbound and outbound shipments, including LTL, FTL, and parcel
- Schedule truck pickups and deliveries with carriers and brokers
- Align freight timing with production output and purchasing schedules
- Confirm dock appointments and ensure shipments are staged on time
- Maintain full visibility of freight movement from dispatch to delivery
Shipment Tracking & Issue Prevention
- Track inbound raw materials and outbound finished goods
- Monitor shipments daily and proactively escalate potential delays
- Communicate real-time updates to production and operations teams
- Maintain organized tracking logs and freight documentation
Documentation & Compliance
- Prepare and manage Bills of Lading, packing lists, and shipping documentation
- Review inbound packing lists for accuracy against purchase orders
- Reconcile discrepancies and coordinate corrections with vendors
- Maintain accurate digital and physical shipment records
Freight Claims & Discrepancy Resolution
- File and manage freight claims for damaged, lost, or delayed shipments
- Communicate directly with carriers to resolve issues
- Document and follow through on claims until resolution
- Warehouse & Inventory Coordination
- Support receiving processes and confirm quantities received
- Investigate discrepancies between delivered and expected quantities
- Collaborate with warehouse team to ensure organized staging and flow
Requirements
- Bachelor’s degree in Business, Supply Chain, Operations, or related field preferred
- 1–3 years of experience in logistics, freight coordination, or manufacturing operations
- Experience coordinating LTL and FTL freight preferred
- Strong Excel skills and comfort managing documentation
- Highly organized with strong attention to detail
- Proactive communicator with strong follow-through
- Comfortable working in a warehouse/manufacturing environment
- Able to lift up to 40 lbs occasionally
Reports to: Director of Operations
Location: Brooklyn, NY (On-Site)
Type: Full-Time, Exempt
Salary: $65,000–$70,000
